When this policy says “you”, it means anyone who uses RankRx or whose information we receive through it.
Who this policy covers
- Agencies and businesses that have a RankRx account, and the team members they add.
- Clients of those agencies, when an agency gives them access to RankRx or shares a report with them.
- Prospects: people who use a free scan or another tool that an agency offers through RankRx.
- People who visit rankrx.io.
If you are a client or prospect of an agency, that agency has its own privacy practices. This policy does not cover how the agency uses your information. Ask the agency for its privacy policy.
Information you give us
- Account and profile information. Your name, email address, company name, and the account ID from the sign-in service you use. If you invite team members, we collect their names and email addresses. We never see the password for an outside sign-in service.
- Business details. Information you enter about your business or your clients’ businesses, such as the business name, address, phone number, website, services and service area.
- Websites and Business Profiles you ask us to analyze. The web addresses, Business Profiles, competitors, keywords and locations you choose.
- Information prospects submit.Coming soon When an agency offers RankRx to its prospects, prospects may give us their name, email address, phone number, business name and website. We collect this on the agency’s behalf. See “Leads and agencies” below.
- Messages. When you email us or ask for help, we keep your message and our reply.
- Payment information. RankRx does not take payments today. If we offer paid plans, a payment processor will collect and handle your card or bank details. We would receive only limited details, such as the card type, its last four digits and your billing address, and we would not store your full card number.
Information we collect automatically
- Log and device information. When you use RankRx, our servers record information such as your IP address, browser and device type, the pages you open, the date and time, and any errors. When you sign in, our logs also record your email address and account ID.
- Usage information. The scans, audits and reports you run, and the features and settings you use.
- Cookies and similar technologies. See “Cookies” below.
Information from public sources and other services
To run audits and research, we also collect information that is public or that data providers supply:
- Public web pages. When you ask us to analyze a website, our crawler reads its public pages. These are the same pages anyone can open in a web browser. We save copies of their code, text, headings, links and images. If a page shows a person’s name, photo, phone number, email address or street address, that is part of the copy we save.
- Public business listings and reviews. Such as the Google Business Profiles of a business and its competitors, with their ratings, reviews, photos, hours and categories. Reviews can include the reviewer’s public name.
- Search and ranking data. Search results, map results, rankings, keyword data, and links between websites.
- Image information. Where images found on a website also appear elsewhere online.
Google user data
- When you sign in with Google, RankRx receives your name, email address and Google account ID. RankRx uses them only to sign you in and run your account.
- RankRx does not sell that information or use it for advertising.
- RankRx’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
- You can remove RankRx’s access at any time from your Google account settings.
How we use information
- To create and run your account, and to sign you in and keep you signed in.
- To run the audits, comparisons and research you ask for, and to show and share your reports.
- To deliver leads to the agency that offered the scan or tool.
- To keep RankRx secure and to prevent fraud and abuse.
- To answer your messages and help you.
- To send you messages about your account, such as notices, alerts and changes to our terms.
- To send you news and offers about RankRx where the law allows. You can opt out at any time.
- To fix problems, understand how RankRx is used, and improve the service.
- To measure and improve our marketing and advertising, where the law allows.
- To follow the law and enforce our terms.
The people who run RankRx can see accounts, scans and reports so they can help you and fix problems.
How we use AI
RankRx uses AI and machine-learning services to read website content and business information, find problems, and write findings and suggestions. We send these services only what the analysis needs, such as page text, web addresses, page titles and business details. We save the results so they can appear in your reports.
We do not use your information to train our own AI models.
AI can make mistakes. Findings made with AI are estimates. Check them before you act on them.
Leads and agencies
Agencies may use RankRx to offer free scans or other tools to their prospects, for example on the agency’s own website. When a prospect uses one of these tools, RankRx may collect the information the prospect submits, such as name, email address, phone number, business name and website. We collect it on the agency’s behalf and share it with that agency, along with the scan results.
The agency is responsible for how it uses those leads, including having the right to contact them. If you are a prospect and want to stop hearing from an agency, contact that agency. You can also ask us to delete the information we hold about you, as described below.
In the same way, when an agency adds a client’s information or shares a report with a client, the agency decides what to add and who can see it.
How we share information
We do not sell your personal information. If we ever share personal information for targeted advertising, we will say so here and honor opt-out requests as the law requires. We share information only in these ways:
- Service providers. Companies that help us run RankRx, under contracts that limit how they may use the information. They include hosting and database providers, AI and machine-learning processing, web crawling and search data providers, image analysis, sign-in (authentication), analytics and advertising services when we use them, and payment processing when billing applies. We send each one only what its part of the work needs.
- The agency a lead belongs to. As described in “Leads and agencies” above.
- Your agency and team. If you are a team member or a client, the people who manage that agency’s account can see the information in it, including reports and leads.
- People you share with. Anyone you send a report or a report link to can see that report.
- Legal reasons. When we believe the law, a court order or a valid legal request requires it, or to protect the rights, safety or property of RankRx, our users or others.
- Business transfers. If RankRx is part of a merger, sale, financing or transfer of all or part of its business, information may be transferred as part of that deal.
- With your permission. When you ask us to share something or agree that we may.

You can control cookies in your browser settings. Some cookies are needed to sign in, so if you block them you will not be able to sign in.
How long we keep information
We keep your information while your account is open and for as long as we need it to provide RankRx. We may keep some information longer when we need it to follow the law, settle disputes, prevent abuse or enforce our agreements. Information we delete may remain in backups for a limited time.
How we protect information
We use reasonable safeguards to protect your information, such as encrypted connections, protected sign-in cookies, and limits on who can access our systems. No system is perfectly secure, so we cannot promise that your information will always be safe. If you think your account is at risk, email us right away.
Your choices and rights
- See your information and get a copy. Email us to ask what information we hold about you. We will send you a copy.
- Correct it. You can update your account details, or email us to correct information that is wrong.
- Delete it. You may ask us to delete your account and your information, and we will delete it within 30 days. We may keep information the law requires us to keep. We cannot delete copies an agency has already received as a lead. Ask that agency directly.
- Stop marketing email. Use the unsubscribe link in any marketing email, or email us. We will still send messages about your account.
To make any of these requests, email support@rankrx.io. We may ask you to confirm who you are first. If we hold your information for an agency, we may pass your request to that agency or ask you to contact it.
California privacy rights
If you live in California, the California Consumer Privacy Act gives you rights over your personal information. You can ask us:
- what personal information we collect, use and share about you, and for a copy of it;

We collect it from you, from your agency, from public sources and from data providers. We use it for the purposes in “How we use information” and share it only as described in “How we share information”.
We will not treat you differently for using these rights. You may let an authorized agent make a request for you. We may ask for proof that the agent may act for you. To make a request, email support@rankrx.io.

If we change this policy, we will update this page and its effective date. If a change is important, we will also email the address on your account before the change takes effect. Our Terms of Service explain the rules for using RankRx.
